GDPR Privacy Notice: Regeneration Services

This notice is relevant to the Regeneration service delivered by Carlisle City Council and explains how we collect, use and protect your personal information.

Our role is to deliver physical regeneration and the enhancement of the local environment to support economic growth and prosperity of both the Carlisle District and the wider Borderlands region.

The purpose of this document is to clearly acknowledge the councils’ responsibilities in relation to the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

Why are we collecting your personal information?

We collect and process personal information about you in order to undertake a wide range of functions such as to:

  • Meet statutory requirements e.g. reporting to Government
  • Monitor service improvement and planning
  • Undertake financial transactions
  • Conduct research including consultations
  • Contact you with relevant communications and marketing
  • Engage with local businesses and offer services, support and advice
  • Promote economic regeneration
  • Award grant funding

What allows us to collect your personal information?

We are collecting this data on at least one of the following grounds under the General Data Protection Regulations (GDPR), Lawfulness of Processing Conditions Article 6(1):

6(1)(a) Consent of the data subject

6(1)(b) The processing is necessary for the performance of a contract with the data subject, or to take steps to enter into a contract

6(1)(c) Processing is necessary for compliance with a legal obligation

6(1)(e) Processing is necessary for the performance of a task carried out in the public interest, or in the exercise of official authority vested in the controller

 

What personal information will we collect?

The information about you which will maintain may include:

  • Basic personal information such as name, address, telephone number, email address
  • Financial information such as bank account details
  • Photographs and film images of individuals

What will we do with your personal information?

We may share your information with partner organisations, including:

  • Elected members and MPs
  • Contractors providing IT services
  • Other local authorities
  • Government Departments
  • Funding Bodies
  • External auditors and regulators

We will not normally share your information with organisations other than our partner organisations without your consent.

However, there may be certain circumstances where we would share without consent such as where we are required to do so by law, to safeguard public safety, and in risk of harm or emergency situations.

There are occasions when you must provide personal information. Where such an obligation exists, either as a statutory or contractual requirement or a requirement necessary to enter into a contract, the possible consequences of the failure to do so are.

* We may not be able to fulfil project delivery commitments and funding agreements that we have entered into with you

* We may be prevented from complying with our legal obligations

How long will we keep your personal information?

We will only keep your information for the minimum period necessary. The information outlined in this privacy notice will be kept in accordance with our retention schedule. All information will be held securely and destroyed under confidential conditions.

Your rights are:

  • To be informed
  • To access your personal information
  • To have inaccurate personal information rectified
  • To have personal information erased
  • To restrict processing of your personal information
  • To obtain and reuse your personal information for your own purpose
  • To object to the processing of your personal information
  • To not be subject to decisions based solely on automated means, including profiling

Where we have collected your personal data such as contact details for marketing purposes, we require your consent to hold this. You can withdraw your consent for us to process your data for these purposes.

Where we have retained your photographic or filmed images for marketing or promotional purposes, we will have obtained your consent to do so. You have the right to withdraw your consent for us to hold these images.

We hold some archived images which we consider to be of historical value and therefore in the public interest to retain
