Carlisle Walking for Health Privacy Notice 

This privacy notice explains how and why the Council uses personal data as part of the Walking for Health scheme. Safeguards are in place to ensure that this data is kept secure and the privacy of individuals is protected. 

What data do we collect?

We collect personal data provided by you. This includes information you give us when you join as a member, join us on a walk, or become a volunteer. For example, we collect personal details (name, address, date of birth, email address, telephone, etc). Please provide this information in order to register.  

How we use your information?

In addition to using your personal information to administer your membership, we will ask for your consent to use it in different ways. We will only use your personal data in the ways you have given us permission to do so.  We may also use your data in order to:

  • comply with a legal duty;
  • to protect the vital interests of the data subject or of another natural person;
  • for our own (or a third party’s) lawful interests, provided your rights don’t override these.

There may be occasions where we want to contact you about something that you have not explicitly signed up for. We will only do this if you have given your consent for us to contact you about similar activities, or if the communication is for a closely related purpose. For example, if you sign up to be a member of Carlisle Walking for Health, we may want to let you know about other opportunities to get involved with our other walks in your local area. 

Walking for Health data

If you participate in the Walking for Health scheme your personal data will be shared with scheme co-ordinators to manage participation in local walks. Any reporting of data will be anonymised and treated confidentially. 

Administration

We collect and use personal data for administrative purposes to help us carry out our work. This includes for example: • maintaining contact databases of our volunteers, walkers and walk leaders, their interests and contact permissions. • management of our group led walks programmes, events and the national Walking for Health programme.  

Sensitive personal data

If you participate in Walking for Health, you may provide sensitive personal health data. We use this data to understand how walking benefits you, and to provide our funders with anonymous statistics. Sensitive personal health data may also be collected as part of any accident reporting on a led walk or other organised event.  This information may be shared with our health and safety team and insurance company in line with our legal and insurance obligations. When sensitive personal information is collected we will take extra care to ensure your privacy rights are protected. 

Who is responsible for your information?

Carlisle City Council is the local data collection controller for the personal information collected on the Carlisle Doorstep walk programmes. The Ramblers are the national controller (if you choose to opt in to the national data collection as outlined in the later section and the “New Walker Registration Forms”). Purposes of processing your personal data

We need to process your personal information for administrative purposes to support your participation and to make sure you are aware that you walk at your own risk. We will also contact you about the walks you register to take part in. With your consent, we will also send you information about related walks and other events. When you register to join a walk you will be asked to complete an anonymous health survey. This is entirely optional and is only used for monitoring, reporting and supporting funding bid applications.  Any health information you provide on this survey is stored separately to your contact details.

In order to provide this service, we may need to process some, or all, of the following categories of personal information: • contact details (name, address, email, phone number).  Please provide the above information to register (also outlined on the “New Walker Registration Form”. Under data protection legislation, this processing is permitted because we have a legitimate interest in administering the walks and contacting walkers. 

Who we share your personal data with We will share your information with the Ramblers Walking for Health (only if you opt in) as joint data controllers. 

Volunteer walk leaders and trainees

Purposes of processing your personal data

When you volunteer as a walk leader, we need to process your information in order to organise your volunteering and the walks you will lead. This will include contacting you about the walks you lead and walk leader responsibilities and procedures. If you book to attend a training course, we need to process some personal information in order to organise and administer the course with the Ramblers, and contact you about the training.

To provide this service, we may need to process some, or all, of the following categories of personal information: • contact details (name, address, email, phone number).  Please provide the above information to register. Under data protection legislation, this processing is permitted because it forms part of the performance of a contract. 

Who we share your personal data with

For training courses, we will share your information with the external volunteer trainer. Information about trained volunteers is shared with the Ramblers Walking for Health as the joint data controller. 

Notification of changes to this Privacy Policy

We reserve the right to amend this Privacy Policy at any time. Notice of any change will be posted on our website and will be deemed effective upon publication.
